What we collect

The demo-request form collects: name, work email, firm or organisation and role, matter type, material type, approximate volume and optional notes. To protect the form from misuse we also keep a one-way hash of the sender's IP address; the address itself is not stored.

How we use it

The information is used only to respond to the enquiry, assess workflow fit, arrange a demo and support product validation.

Lawful basis

• to respond to a demo or workflow enquiry and to take steps requested by the person before any possible engagement; and
• for ELIAN's legitimate interests in managing genuine business enquiries, validating the workflow and protecting the public form from misuse.

The acknowledgement checkbox on the form is not, by itself, the lawful basis for processing.

What not to submit

The public demo form is not a secure intake channel. Do not submit confidential case files, privileged material, sensitive personal data or client-identifying details through this form.

Processors and recipients

Access to submitted requests is limited to authorised administration and to service providers acting on ELIAN's instructions:

• Hetzner Online GmbH: server hosting in Germany (EU), where the website and form submissions are stored;
• Cloudflare, Inc.: network security and content delivery for this website;
• Vimexx: email hosting for correspondence following an enquiry.

ELIAN does not sell demo-request data.

International processing

Form submissions are stored in the EU. Cloudflare may process connection data globally to deliver and protect the site. Further information about provider locations and safeguards is available on request and will be specified in pilot arrangements where required.

Retention

Data is retained only for as long as reasonably necessary to respond to the request and maintain appropriate business records. Enquiries that do not lead to further contact are deleted periodically.

Your rights

Depending on the law that applies to you, you may have the right to access the information ELIAN holds about you; request correction or deletion; restrict or object to certain processing; request data portability where applicable; and withdraw consent where consent is actually used as the basis for processing. To exercise any of these rights, contact [email protected].

Complaints

Please contact ELIAN first. You may also complain to the competent data-protection supervisory authority in your jurisdiction. Where UK data-protection law applies, this is the Information Commissioner's Office (ICO).

Automated decision-making

Demo-request information is not used to make automated decisions about applicants and is not used for profiling.

Cookies and analytics

This website does not use analytics or marketing cookies. Only technical storage strictly necessary to operate the site and protect the form (a session and security cookie) is used, so no consent banner is shown. This will be revisited if that changes.

Security

ELIAN takes reasonable technical and organisational measures to protect demo-request data, including restricted administrator access, encrypted connections and hosting in the EU. ELIAN does not claim certification, full regulatory compliance or absolute security.

Scope of this notice

JANUS by ELIAN is at design-validation stage and offered through scoped pilots. This notice covers the public website and demo-request form only. Pilot arrangements are governed by their own written terms.
